Who we are

Boardroom Gentlemen’s Refinery (“Boardroom”, “we”, “us”) is a barbershop in Crofton Park, south-east London. We are the data controller for the personal data described here — meaning we decide how and why it is used.

The data we collect

We only collect what we need to run the shop and look after our clients:

• Contact and enquiry details — your name, email address, phone number and the content of any message you send us.
• Booking details — the service requested, your chosen barber, and the date and time of your appointment. Bookings are managed through Acuity Scheduling.
• Website and cookie data — limited technical information such as your approximate location, device and browser type, and how you use the site.

We do not knowingly collect special category data such as health information through this website, and we do not sell your personal data.

How and why we use it

Under the UK GDPR we must have a lawful basis for using your data. We rely on:

• Answering your enquiries — our legitimate interest in dealing with enquiries about our services.
• Managing your appointment — performance of a contract with you, or steps taken at your request before entering into one.
• Running and improving the website — your consent, where this relies on non-essential cookies. You can withdraw it at any time.
• Meeting our legal duties — compliance with a legal obligation, such as keeping records for tax and accounting.

We will only send you marketing if you have asked us to, and you can unsubscribe from any message at any time.

Who we share it with

We keep your data within the shop wherever we can. We use a small number of trusted suppliers who handle data on our behalf and only on our instructions:

• Acuity Scheduling (a Squarespace company) — our booking provider. Booking details are processed by Acuity under their own terms and privacy policy.
• Vercel — our website hosting provider, which serves this site and processes the technical data needed to deliver it securely.

We may disclose data where the law requires it. We never sell your data, and we do not share it for anyone else’s marketing.

Cookies and analytics

Cookies are small files stored on your device. We use only those that are strictly necessary to make the website work — these do not require your consent. We do not use advertising cookies, and we do not currently run analytics or tracking on this site.

You can block or delete cookies in your browser settings, though some parts of the site may not work as well if you do.

How long we keep it

We keep personal data only for as long as we need it for the purposes set out above. Enquiry messages and correspondence are kept while there is a reason to — to answer you, to pick up where we left off, and to look after you as a client — and we review what we hold from time to time. Booking records are retained for as long as you remain a client and for a reasonable period afterwards. Records we must keep for tax and accounting are held for six years, as required by law. You can ask us to delete your data at any time (see Your rights below), and we will do so unless we are required to keep it.

Your rights

Under UK data protection law you have the right to:

• Be informed about how your data is used — the purpose of this notice.
• Access a copy of the personal data we hold about you.
• Rectification — to have inaccurate or incomplete data corrected.
• Erasure — to ask us to delete your data in certain circumstances.
• Restrict or object to our processing, including for direct marketing.
• Data portability — to receive certain data in a reusable format.
• Withdraw consent at any time, where we rely on it.

Complaints

We would always rather you came to us first, so we can put things right. If you are unhappy with how we have handled your data, you have the right to complain to the Information Commissioner’s Office, the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113.

Changes to this policy

We may update this notice as our services or the law change. When we do, we will revise the date at the top of this page.
